Privacy policy
Last updated: 20 October 2026
This policy explains what personal information The Designer Room collects through this website, why, and what you can ask us to do with it.
Who we are
The Designer Room is a trading name of W17 Ltd, a company registered in England and Wales (company number 16931628). Our registered office is Millstone House, North Gardens, Yattendon, Thatcham, England, RG18 0NG.
W17 Ltd is the controller of your personal information. If you have any questions about this policy or your information, email will@designerroom.co.uk.
What we collect
If you send us a stocklist, we collect your name, company and email address, and the stocklist file if you attach one. You can also choose to give us your job title, phone number, company type, the brands and approximate number of units, a collection postcode, the type of stock, the date you need it cleared by and any notes.
If you request stock, we collect your name, business name and email address, where you sell, the categories, quantity, budget and condition you’re after, and, if you choose to give them, your phone number, brands of interest, delivery or collection preference and postcode, and any notes.
If you email us or book a call, we collect what you send us. Calls are booked through Cal.com, which passes us your name, email address and the time you chose.
If you choose to hear from us, we record that choice (see “Updates by email” below).
When you visit the site, our hosting provider, Netlify, keeps basic technical logs, such as your IP address and browser type, to deliver the pages and keep the site secure.
How we use it
We use your information to:
- reply to your enquiry and talk through your stock or what you’re looking for
- make you an offer, or tell you what lots are available
- arrange collection or delivery
- pay you or invoice you, and keep the records the law requires
- send you occasional updates about new stock and lots, if you’ve agreed to them (see below)
Under UK data protection law, we rely on:
- legitimate interests: handling business enquiries and running our business
- steps before a contract: when you ask us for an offer or for stock
- legal obligation: keeping financial and tax records
- consent, or legitimate interests for buyers: for updates by email, as explained below
Updates by email
We send occasional emails about new stock and available lots.
- If you send us a stocklist, we only email you updates if you tick the box on the form to say yes.
- If you request stock, we’ll email you updates about new lots unless you tick the box on the form to say no.
Every email has an unsubscribe link, and you can also ask us to stop at any time by emailing will@designerroom.co.uk. Unsubscribing doesn’t affect any enquiry or deal in progress.
Who we share it with
We use a small number of trusted providers to run the site and our business:
- Netlify: hosts this website and receives the forms
- Google Workspace: our email
- Cal.com: call booking
- our email marketing provider: sending updates to people on our mailing list
We may also share information with couriers (only the collection or delivery address and contact details they need), our professional advisers such as accountants, and authorities where the law requires it.
We never sell your information.
International transfers
Some of our providers store information outside the UK, including in the United States. Where they do, the transfer is protected by safeguards approved under UK law, such as the UK International Data Transfer Addendum or the UK–US data bridge.
How long we keep it
- Enquiries that don’t lead to a deal: 2 years from our last contact, then deleted.
- Deals: 6 years from the end of the financial year the deal falls in, as needed for tax and accounting.
- Mailing list: until you unsubscribe. After that, we keep only your email address on a “do not contact” list so we don’t email you again by mistake.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that’s wrong
- ask us to delete your information
- ask us to restrict how we use it, or object to us using it
- withdraw your consent to updates by email at any time
- ask for your information in a format you can take elsewhere
To use any of these rights, email will@designerroom.co.uk. We’ll reply within one month.
If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We’d appreciate the chance to put things right first.
Cookies
This website doesn’t set cookies and doesn’t use analytics or tracking. Cal.com and Whatnot set their own cookies when you visit them, under their own policies.
Changes to this policy
